Adding / Editing CPT Codes
1. Navigate to the CODES & METRICS tab within the Account Settings section.
2. Review the default codes (picture below) to see which ones need to be adjusted and/or added for your practice.
đź“’ You can edit the current codes to have alternative descriptions and/or appointment lengths, or you can make any unnecessary ones inactive by clicking on the CPT code within the list.
Editing an existing CPT code will update that code everywhere it is already used. |
Creating a New Service Type
3. Create any new service types needed i.e., telehealth by selecting +Add New CPT Code button - New
4. Add any additional CPT codes by clicking on the +Add New CPT Code button. Service Type → Select the appropriate service type from the dropdown (Intake, Individual, Family, Group) or click on the (New) button to create your own service type.
The service type distinction is how the CPT codes will be organized in the dropdown when creating an appointment.
CPT Code → Enter the CPT code that you’d like to add to your account
Please note: you can enter completely custom codes to denote billed services that are not eligible for submission for reimbursement (e.g., Coaching Session; Phone Consultation; Collateral Call, etc.)
Description → Enter a description for the CPT code.
This description is used to help your staff select the correct code when creating their appointments. This description will not appear on the superbills.
Length (minutes) → Enter the typical duration of an appointment with this CPT code.
When selecting this CPT code from the dropdown within the appointment creation window, the duration of the appointment will automatically reflect whatever length was entered here (note: the duration can always be adjusted as needed).
Adding Modifiers to CPT Codes in My Best Practice
In My Best Practice, modifiers are added by creating (or updating) a CPT code with the modifier appended directly to the end of the code. Modifiers cannot be added separately or selected from a dropdown, so each CPT + modifier combination must exist as its own CPT entry.
When You Need This
Use this workflow any time a payer requires a modifier such as 95, GT, HJ, 76, 59, etc. Examples include:
Telehealth services (e.g., 90834‑95)
State‑specific program modifiers (e.g., 90837‑HJ)
Repeat procedures (e.g., 90837‑76)
How to Add a Modifier to a CPT Code
1. Go to Account Settings → Codes & Metrics
Select +Add New CPT Code or select the Description to edit a current code.

I.e., If you change the code from 90834 to 90834‑95, every appointment, claim, and historical entry tied to 90834 will now display 90834‑95.

2. Enter a variable for all sections below and select Save CPT Item
Service Type → select “Telehealth” from the dropdown
CPT Code → Enter the regular CPT code followed by the appropriate modifier (e.g., -95, -GT)
Description → Add another differentiator before the code’s description such as “Telehealth; Individual psychotherapy”
Length (minutes) → specify the default duration for this type of appointment
