Creating a Cohort to Schedule Send Packets (Intakes & ROMs)

You can create cohorts within MBP to automatically send packets on a schedule of your choosing. This is great for sending intake packets at the time of creating a client -- OR -- to send out routine outcome measures or satisfaction surveys. 

Step 1: Create the packet of surveys that you'd like to send to a cohort (Creating Packets)

Step 2: Once you have set up the packet, you will go to the Cohorts & Schedule tab within Account Settings and click the +Add New Cohort button. 



Step 3: Enter a name for your cohort (this will be visible in the dropdown when adding a client to the cohort) and a cohort description (helpful text to indicate what the cohort will be used for), and press Save Changes.

Step 4: Find the newly created cohort and press +Add New Packet to [Cohort Name] to select the packet from the dropdown. Then, press Save. 

Step 5: Then, press "Configure" to set up the schedule for which the packet will be sent. 

Step 6: Set up the schedule you'd like for when the packet should be automatically sent. Please see the below information regarding your various options. 

  1. Intake Packets
    1. One Time Only 
      1. This will send the packet out one time only immediately after you've added the client to that cohort. 
  2. Routine Outcome Measures 
    1. Every week on the day added 
      1. e.g., If you added the client to the cohort on a Monday, then the packet will be sent out every Monday.
    2. Every month on the day added
      1. e.g.., if you add the client to the cohort on the 15th of the month, then the packet will be sent out on the 15th of each month.
    3. Custom Occurrence 
      1. The custom occurrence allows you to set up an end date for the sending of the packet.
    4. By Session
      1. e.g., 24 hours after every appointment 

      1. e.g., 48 hours before every 3 appointments 

You can set up reminders to be sent to the client by clicking on the "Reminders" tab on the left-hand side. This will send as many reminders as you choose to the client until they've completed the packet.
