Mass Messaging

Mass Messaging

Mass Messaging allows your practice to send a single message to multiple clients at once—saving time, improving communication efficiency, and ensuring consistent outreach. Whether you’re announcing office closures, sharing reminders, or sending bulk updates, Mass Messaging provides a secure and streamlined way to reach the right groups of clients.

This article explains how Mass Messaging works and how to send messages using Message by Tag, one of the most powerful filtering tools in the system.

📨 What Is Mass Messaging?

Mass Messaging enables you to:

  • Send one message to many clients simultaneously

  • Filter recipients by Tag, Client, Professional

  • Maintain HIPAA‑compliant communication through the secure MBP messaging system

Mass Messaging is available to all staff members with messaging permissions.

🧩 Understanding Message by Tag

Message by Tag allows you to send a message to all clients who share a specific tag. Tags are customizable labels you can assign to clients—for example:

  • Active Intake

  • Waitlist

  • Group Therapy – Monday

  • PTO Notification List

  • School-Based Clients

Using Message by Tag ensures your communication is targeted, organized, and relevant.

📍 How to Send a Mass Message

1. Navigate to Messages

From the top menu, select Messages to open your inbox.

2. Click “New Message”

This opens the message composer.

3. Choose Your Recipient Type

You’ll see multiple options, including:

  • Add All Clients

  • Add clients by tag

  • Or you can individually choose clients and/or staff

4. Select “Message by Tag”

Choose the tag you want to target. All clients assigned to that tag will automatically populate as recipients.

5. Compose Your Message

Enter your subject and message content. Your professional signature (if enabled) will attach automatically.

6. Review Recipients

Before sending, confirm that the selected tag includes the correct clients. You can adjust tags from the client chart, Client Overview → Tags if needed.

7. Send the Message

Click Send. The message will appear in your sent, and each client will receive it individually.
