Adding Appointments to the Calendar

You can add two types of appointments to your calendar.
  1. Client Appointments 
  2. Non-Client Appointments

Scheduling a Client Appointment

Step 1: Click on the date/time within the calendar OR click on the New Session icon in the top right-hand corner of the screen. 


Step 2: Complete the required items for the appointment. 



  1. Room = In-Person vs. Telehealth
    1. The room chosen will determine what Location Code appears on the superbill (e.g. 2 for telehealth appts; 11 for in-person appts; etc.)
    2. If you need to make adjustments to your rooms, you can do so in the Account Settings (Creating Facilities & Rooms)
  2. Service = CPT code assigned to the appointment 
    1. You can add or edit CPT codes within your Account Settings (Adding/Editing CPT Codes)
  3. Service Price = the amount billed for the session
  4. Day / Time = Date/Time for the appointment
  5. Length (min) = Length of the appointment 
    1. This will auto-populate based on the settings for the CPT code selected. However, it can always be adjusted within a specific appt.

Step 3: OPTIONAL settings for the appointment

  1. TELEHEALTH
    1. For telehealth sessions conducted using our integrated telehealth system, click the button next to "Telehealth Reminder"
      1. This will trigger the system to automatically send the client the link to your secure telehealth session about 20-30 mins prior to the scheduled appointment. 
  2. RECURRING APPOINTMENTS
    1. You can set up a recurrence for an appointment by utilizing the dropdown below the Day / Time fields. 

Step 4: Press   Add Appointment  

Scheduling a Non-Client Appointment

Step 1: Click on the "Non-Client Appointment Tab" at the top of the Create Session pop-up screen. 



Step 2: Enter the required details for your non-client appointment. 

  1. Room = Select the appropriate room for the appointment.
  2. Subject = This is what will be displayed on the calendar. 
  3. Day / Time
  4. Length (min)

Step 4: OPTIONAL settings for the non-client appointment.

  1. NOTES
    1. These notes can be accessed by clicking on the appointment from within the calendar.
  2. RECURRING APPOINTMENTS
    1. You can set up a recurrence for an appointment by utilizing the dropdown below the Day / Time fields. 

Step 5: Press   Add Appointment
