Importing Clients from CSV File
If you don't have an EHR or if your EHR does not provide the information in one of our accepted formats, you can utilize our Self-Import tool.
STEP 1: Navigate to the Import Center within Account Settings and click import
You can also download the standard migration template that is attached to this guide.
If you are going to be importing both ACTIVE and INACTIVE clients or clients assigned to different professionals, you will need to utilize more than one import template to separate these clients.
STEP 3: Manually enter data for each client OR you can copy/paste data from a different CSV/Excel document into the appropriate fields.
The only required fields to create the client profiles are the first and last names.
To ensure that your import goes smoothly, please see the below notes regarding the required format for various columns:
- Client ID --> leave this column blank
- MBP will auto-generate this during the import process
- Phone & Phone2 --> XXX-XXX-XXXX
- Do not include any parentheses
- Starting Balance --> only to be used if you will not be collecting an existing balance outside of MBP
- Gender --> only the following can be entered
- Male
- Female
- Trans M-F
- Trans F-M
- U
- Other --> non-editable field
- Marital Status --> only the following can be entered
- Single
- Married
- Divorced
- Widowed
- Other
- Unknown
- Notes --> these will show up in the Notes section within the clients' General Overview tabs
- This is a great place to put various pieces of information such as their presenting problem; how the client first reached out regarding therapy; general notes for the clinician or admin team
STEP 5: Select the professional to whom these clients will be assigned
- If you have not yet added the professional to the account, they will be unavailable for selection. Please see this guide to invite additional professionals to your account: Inviting Additional Professionals
STEP 6: Select the client status (ACTIVE, INACTIVE, or WAITLIST) with which you'd like for these clients to be imported.
STEP 7: Click Preview Clients
STEP 8: Review the list of clients that will be imported.
If you entered any information in an incorrect format, you will receive an error message indicating which row in the CSV file needs to be corrected.
STEP 9: Once you've reviewed the list, press Import Clients
Your clients have now been created in your account!
To add contact cards in bulk for your clients, please reach out to our customer support team at support@mbpractice.com. They will be able to provide you with a CSV file in which you'll be able to add additional contacts to be assigned to specific client.
