Inactivating a Professional Profile

STEP 1 -- Delete ALL future appointments from the professional's calendar.

  1. Make sure to delete all individual appointments and recurring appointment series.
    1. To check that all future sessions have been successfully deleted, you can navigate to the "Sessions" tab, select the professional from the filter dropdown and then select a future date range of as far out as you'd like (typically 6 months to 1 year is sufficient). 


STEP 2 -- Reassign the Primary Professional for any clients that will remain ACTIVE.

  1. (A) Clients who are being reassigned/transferred to another professional's caseload.
  2. (B) Clients with outstanding balances. For these clients, we recommend assigning them to the practice owner or clinical director. 
    1. You can mark them as INACTIVE once you've cleared out their balances. 

STEP 3 -- Make all other clients INACTIVE.

  1. You can use the Bulk Options tool to quickly mark all clients as inactive: Bulk-Editing Client List. Just make sure to hit SAVE next to each of their names before going to the next page! :) 

STEP 4 -- Inactivate the professional's profile within Staff & User settings 

  1. You will be prompted to reassign the clients to another professional at the practice. However, if you've followed the above steps, you can press "NO."
  2. All of the INACTIVE clients that were assigned to that professional will now be accessible either by typing their name in the universal search bar (at the top of the navigation bar) OR by going to the Clients List and filtering for "Unassigned Clients."


Notes
Once you've inactivated the professional profile, you will no longer be charged for the professional's access.
**If you inactivate them in the middle of a billing cycle, the charge for their access will be removed from the next billing statement.
